Contact with minors, on the record

These are the rules the product is built around, in plain language for athletic directors and compliance offices.

  1. Contact details stay hidden

Coaches see a first name, an in-game name, a record ID, school, state, graduating year and league results. Last name, email, phone and Discord stay hidden. All outreach goes through masked forwarding email, and every message is logged.

  2. Opt-in starts at league signup

Whether a student is open to contact is set when they register with their league. The student can see and change that setting at any time.

  3. Contact starts in junior year

Freshmen and sophomores can be found and saved to lists, but cannot be messaged. Their records show the date contact opens, which is August 1 of the year their junior year starts.

  4. Parents take part if the student chooses

A student can invite a parent or guardian. A linked guardian sees the same conversations the student sees, can switch contact off, and is copied on email. Coaches see that a guardian follows the conversation.

  5. Students decide what to share

After a student has replied, only the student can choose to share a Discord or email address with your program. The share is logged and visible to a linked guardian. Coaches have no button to ask for it.

  6. Coaches are verified people

Every coach appears as verified staff at a named institution, with a link to the college’s own staff or team page, so families can check who is writing.

  7. Off-platform requests are flagged

If a draft contains a handle, phone number, email or link to a messaging app, the composer warns the coach. If the coach sends anyway, the message is delivered, marked as flagged for the student and any linked guardian, and logged.

  8. Conversations belong to the program

There is one thread per student per program. Every staff member can read and reply, and each message shows which coach wrote it and whether it came by email or on the site.

  9. Every student screen repeats the red-flag rule

A real college coach will always reach you through Recruit Esports first. Anyone who asks you to move to private DMs early is a red flag. Every message can be reported.

Coach code of conduct

What every coach agrees to

Coaches agree to identify themselves and their institution truthfully, to keep conversations on Recruit Esports or through its forwarding addresses, and never to ask a student to move to private messaging early.

Coaches also agree not to contact students before contact opens, not to share a student’s details outside the program, and to stop when a student or guardian asks.

Conversation log

Every message, kept

Every message is logged in the program’s conversation log, with the coach who wrote it and whether it came by email or on the site. Your program’s staff see that log in Conversations, and students and linked guardians see the same messages from their side.

Changes to a student’s contact setting record who made them and when. A dedicated audit view for compliance staff is planned.
